Before you compare agencies, decide how you want to work with one. The engagement model decides who carries the risk when requirements change, how you are billed, and how much control you keep over day-to-day priorities.
Fixed scope, fixed price
You agree on a written scope, a timeline and a price before work starts. Payments are tied to milestones.
Works best when:
- The project is well defined, such as a marketing website, an MVP with a clear feature list, or a migration
- You need a firm budget number for approval
- You do not want to manage the team week to week
Watch out for: every change becomes a change request. If you expect to learn a lot from users mid-build, a fixed contract can slow you down.
Dedicated team
You get engineers who work only on your product, billed monthly. You set priorities each sprint, and you can scale the team up or down.
Works best when:
- The product will keep evolving after launch
- You have a product owner who can make decisions every week
- You want the team to feel like an extension of your own
Watch out for: without clear priorities, a monthly team can drift. Insist on sprint goals, weekly demos and visible progress.
Managed retainer
A fixed monthly plan for ongoing work with agreed service levels: cloud operations, monitoring, security updates, SEO or small improvements.
Works best when: the product is live and you need reliable care rather than a big new build.
A simple way to decide
- If you can write the full scope on two pages today, start with fixed price.
- If you expect the roadmap to change every month, choose a dedicated team.
- If the product is stable and you need it kept healthy, choose a retainer.
Many clients combine them: a fixed-price MVP, then a small dedicated team, then a retainer once growth slows.
Questions to ask any partner
- Who owns the code, designs and cloud accounts, and from which day?
- How often will I see working software?
- What happens when a requirement changes mid-sprint?
- Which hours overlap with my time zone?
